Executive Assistant | Remote Role, Project Coordination & Strategic Admin Support

The Opportunity

As an Executive Assistant, you are more than a scheduler—you are the strategic partner who keeps a fast-paced executive moving forward. From managing high-level board meetings to coordinating with architects, engineers, and city partners on major projects, you will play a critical role in supporting leadership at the highest level. This is a mission-driven, remote-first role for a proactive professional who thrives on precision and high-stakes organization.

What Your Days Will Look Like

  • Strategic Calendar Management: Own the executive’s schedule, resolving conflicts and using tools like Calendly or Doodle to ensure peak productivity.

  • Board & Meeting Support: Prepare materials for bi-monthly board meetings, manage logistics, and handle all attendee communications and follow-ups.

  • Complex Project Coordination: Serve as the central point of contact for diverse teams (engineers, scientists, consultants), tracking timelines and deliverables without constant oversight.

  • Communications Triage: Monitor high-volume inboxes, summarize key messages, and draft professional responses to keep internal and external communication fluid.

  • Operations & Systems: Maintain CRM records (EveryAction), update SOPs, and suggest workflow improvements to enhance team efficiency.

  • Specialized Support: Assist with basic financial planning/budget reviews and conduct national-level research to provide actionable insights for leadership.

Technical Requirements

  • Primary System: Intel Core i5 (or equivalent) with 8 GB RAM.

  • Backup System: Intel Core i3 with 4 GB RAM.

  • Internet: Primary connection of 25 Mbps + a dedicated backup internet device.

  • Peripherals: 720p HD webcam and a noise-canceling headset.

  • Power: A reliable backup power source (UPS/Power station).

  • Schedule: Full availability for U.S. business hours (EST/PST).
